What counts as a useful gap?
A missing brand mention is one signal, while an unanswered buyer task is another. Start from the task: choosing a supplier, checking an integration or planning an implementation. Gather questions from sales calls, support tickets and procurement reviews. Record the evidence that the question matters, the audience affected and the decision it blocks.
This keeps a novel generated topic from outranking a recurring customer problem simply because it looks surprising.
Also inspect cases where your brand already appears. The answer might omit a material limitation, use an outdated plan name or recommend the product for the wrong audience. Those are different gaps from outright absence. Keep presence, recommendation and factual quality in separate columns so a positive headline score cannot conceal the work that would help a buyer.

How do you avoid creating unnecessary pages?
Search your existing content before assigning a new article. A gap can mean an outdated specification, a missing section, an inaccessible document or two competing pages with inconsistent answers. Record the preferred existing URL and the smallest useful change.
If the question is already answered clearly, investigate whether the observed result is a one-off, a retrieval limitation or a mismatch in the prompt’s context.
For illustration, a fictional booking platform finds three gaps: an undocumented cancellation rule, a repeated customer question about data export and a generated topic about a market it does not serve. Update the policy page for the first, inspect the existing export guide for the second and reject the third unless strategy changes.

What goes into the shortlist?
Use a short assessment for each item: buyer evidence, consequence, existing coverage, available proof, owner and effort. Avoid false precision from multiplying arbitrary scores. A high-consequence factual error with a clear correction may outrank a broad topic with uncertain demand. Keep an explicit rejection or defer reason so the list remains manageable and future reviewers understand the choice.
Only after triage should you open Content generation > Gap Filler or Content Strategy for the relevant audience and topic. Write an acceptance condition such as “the approved page explains export limits and includes a verified example.” Google recommends useful original content and discourages query-variation pages made primarily to manipulate results in its AI optimization guide.
Finish with a small work queue whose buyer value, evidence and next actions are defensible.
